Overnight 'Awake' Check-Ins

The NotesTr App provides an effective tool to ensure that caregivers or direct care staff are awake throughout the night.  This is a key requirement from the Office of Long Term Living.

There is also a concern by regulators and Managed Care Organizations (MCOs) that caregivers or direct care professionals may not be awake throughout the night during overnight shifts.  MCOs want to know that a Policy exists explaining how Caregiving organizations ensure overnight awake status for their employees.

What typically happens today?
No physical checks are done. In some cases, the requirement is being supported with paper logs which do not accurately report the time a log entry is made. Paper can be easily modified or incorrectly marked after they are supposed to be marked.  Some organizations use phone call-ins or text messaging to track a caregiver's 'Awake' status.

Using the NotesTr software also gives administrators the ability to include key items inside patient profiles that can be made viewable by a caregiver inside their app. Examples include if a client requires toileting at a specific time of the night or a bedside turn at a specific interval throughout the night.

Hourly Checks Start at 12am

Caregivers check into the app typically between 11pm and 12am.  The app provides the following:

  • Top of the Hour Checking-In of time by pressing the 'Done' button.
  • The software provides immediate positive feedback to caregiver if the 'Done' button is selected within the timed window.
  • Caregivers can be rated out of a score of 7 in terms of how many top-of-the-hour checks were successfully completed during a shift.

On-Time Checks

Caregivers are required to check the 'Done' button at the top of every hour (e.g. 12am, 1am, 2am, 3am, 4am, 5am, 6am).  For checks to be marked successful, they need to be done within 15 minutes of the top of every hour.

  • The green-colored  'Done' button selection records the date and time the button is clicked.
  • Checks completed within the 15 minute window (e.g., between 12am and 12:15am) are marked in GREEN with a thumbs up.
  • Date and Time are also captured in green coloring.

Accountability

If a caregiver logs a time outside the 15-minute window, the record status is recorded using red color.

  • A selection of the 'Done' button, for example, between 12:16am and 1am will be recorded in red color because it is completed outside the 15 minute window from 12:00am to 12:15am.
  • A red thumbs down is recorded when the task is completed outside the acceptable window.  The red thumbs down immediately gives the caregiver feedback to try and check-in within the assigned window of time at the next scheduled check-in.
  • Date and Time are also captured using red coloring.
